Objectives and Key Deliverables

This role encompasses the programme management activities necessary for both
mobilisation of new services and on-going delivery of services. Situated within
the Shared Services Team, the role will involve: * ensuring comprehensive and
robust mobilisation plans are put in place * monitoring and reporting on
progress against plans * supporting the Management Team in ensuring appropriate
governance structures are put in place * providing secretariat for meetings,
including ensuring agreed actions and activities are delivered as agreed *
tracking of risks and issues Main responsibilities Markets Develops and maintains relationships with other service lines within the
firm * Builds, develops and maintains own business and personal network *
Shares knowledge and information with colleagues * Undertakes business
development duties and responsibilities that may be reasonably required from
time to time Clients Serves as the programme manager for assigned delivered services Enhances client relationships by discharging the programme management
responsibilities professionally, including: managing client expectations,
developing comprehensive project plans as the basis for regular progress
reporting, identifying and managing risks, undertaking appropriate meeting and
agenda forward planning, taking accurate and appropriate minutes reflecting the
contractual and political dimensions to the services, maintaining effective
logs of issues and decisions, establishing an auditable and appropriate record
of communications on key decisions and ensuring a structured approach to follow
up and actions  Acts in a commercially astute manner
at all times and facilitates responses to client requests in a manner which
reflects excellent customer service but also considers the commercial and
operational priorities of the team.Develops and applies technical experience to effectively analyse and support
effective performance.Prepares regular and timely analytical feedback on service progress and achievement
as required to internal and external stakeholders.* Disseminates programme management updates to the delivery team and
management team along with the relevant partners as required.Writes and reviews reports to ensure they are high quality, and
professionally presented. * Identifies and addresses key issues promptly. Communicates issues with senior leadership. * Keeps internal clients
up-to-date on service progress People * Builds strong and positive
relationships with senior management and the Operations Management Team *
Interfaces with teams outside of Business Growth Services such as People and
Skills, Legal, Marketing, Risk, etc * Interfaces with subcontractors in a
manner that encourages positive relations * Builds and maintains good working
relationships with clients, staff and colleagues * Works in line with the
firm's of collaboration, leadership, excellence, agility, respect and
responsibility * Meets CPD requirements by deadlines Operations and results Manages the cycle of regular mobilisation meetings for the assigned service,
including agenda development, document or report preparation and circulation,
secretariat (including recording actions and minutes) and general coordination;
acts as point of contact for the wider external team (ie subconsultants) *
Provides support to other formal boards or groups as required * Supervises the
preparation of relevant reports and performance analysis. Verifies reports to
ensure they meet expected quality levels .Maintains (and/ or identifies improvements to) systems to record and track
actions and decisions * Develops systems for identifying, tracking and
reporting risks and issues * Develops policies, guidance and procedures, as
required by the assigned service * Oversees end to end information management
function for the assigned service to support: tender management, mobilisation,
legal and contractual compliance, audit preparedness, programme closure or
handover preparedness and continuous improvement. Owns, implements, reports on and improves information management approaches
where necessary developing additional policy and guidance documents * Ensures
compliance with operational requirements, including processes for ensuring
client information is managed securely, relationship checks are conducted in a
timely manner so as to avoid any conflicts of interest between clients and
participants on services Develops and manages relevant information management systems in a manner
that is ISO compliant, and supports best practice information management
including the use and maintenance of any online document storage platforms and
in parallel appropriately utilising own network and document storage approaches
and applications * Ensures updated process documentation is stored securely and disseminated
effectively, supported by the Performance Manager and internal communications
colleagues * Ensures own time is utilised effectively * Adheres to the firm's
risk management policies and procedures Person Specification Education/qualifications ·

Programme / Project management qualifications or
designations Experience Proven experience of delivering programme management support Proven experience in delivery governance and secretariat function to boards
and other groups (internal or external) * Proven experience of operating in a
complex environment with internal and external stakeholders and contractual
complexity Proven experience of risk identification, tracking and reporting * Proven
experience of managing document storage, retention and audit requirements for
large and complex organisations * Experience delivering or overseeing the
delivery of public sector programmes and their related programme and project
management, governance, communications, audit and documentation requirements *
Familiarity with contract management

Skills * Microsoft Project skills * Microsoft Word to desktop publishing
standard, especially preparation and publication of long documents * Strong
analytical skills including data analysis and manipulation in Excel * Microsoft
PowerPoint skills * Ability to present data in a understandable form
